Booking Terms and Conditions

In order to avoid any misunderstanding, we ask you to read our terms and conditions before signing your booking form.

Bookings

  • Reservations are secured on receipt of a completed Booking Form and the appropriate deposit.
  • Groups requiring sole use of St Katharine’s will be required to pay an exclusive use fee. Such arrangements should be made when making the booking.
  • For group bookings, the anticipated number of attendees and expected arrival and departure times should be given on the initial booking form.
  • Final group numbers are to be advised one month before the visit.
  • No later than 14 days prior to arrival (earlier if at all possible), a full list of names, noting vegetarian, pescatarian or vegan requirements, any medically essential dietary requirements or allergies and a copy of the programme should all be provided to the office.
  • Increases or decreases to the number of guests or meals can be considered up to 48 hours before the event but acceptance of these cannot be guaranteed.
  • St Katharine’s reserves the right to change room allocation for a suitable alternative at their discretion.
  • All prices shown exclude VAT. This will be added where applicable at the current rate.

Deposits

Amounts for deposits are:

  • £10 per person for led Quiet Days                                             • Full payment for Bed & Breakfast
  • £50 per person for led House Retreats                                   • £50 per person for individual residential bookings
  • Room Fee for day group/afternoon tea bookings             • £300 for group residential bookings

These deposits are non-refundable and non-transferable.

Receipt of your deposit and booking form will be acknowledged by email where possible. If you prefer a receipt of your deposit and booking by post, please send a stamped addressed envelope.

Settlement of Account

  • Invoices must be settled in full within 14 days of the date of invoice. This will be issued in advance of the retreat/event and payment must be received before the retreat begins. Failure to do so may result in the retreat being cancelled and our Cancellation terms will be applied.
  • Deposits and final payments for group bookings must be arranged by the organiser and made as single payments.

Methods of Payment

Cheques should be made payable to “Sue Ryder Prayer Fellowship or SRPF”.

Payment can also be made by bank transfer to:

  • Account Name: Sue Ryder Fellowship (Parmoor)
  • Sort Code: 40-52-40
  • Account Number: 00029867

Please use the Booking Reference Number (if applicable, otherwise your surname and the date of the Retreat or Quiet Day) as a reference. This will help us match the payment to your booking.

Payment can also be made by Credit/Debit cards but there will be a surcharge of 1.69% on the invoice amount.

Cancellation

CANCELLATION FEES will be applied to all cancellations and are based on the numbers given on the booking form or increased numbers subsequently advised.  Cancellation fees will also apply to partial cancellations if more than 20% of your party cancels within 12 weeks of visit.

In addition to loss of deposit;

  • If less than 26 weeks’ notice of cancellation is given – a further 5% cancellation fee will be charged

Otherwise;

  • If less than 12 weeks’ notice of cancellation is given – 50% of the full fee will be charged
  • If less than 8 weeks’ notice of cancellation is given – 75% of the full fee will be charged
  • If less than 4 weeks’ notice of cancellation is given – 100% of the full fee will be charged

The contact named on the booking form will hold full responsibility for the financial arrangements; it is their responsibility to ensure they are in possession of the correct rates for the dates booked.

The house does not accept any consequential losses following the failure of the individual or organisers of a group to comply with the above-mentioned terms and conditions.

In the unlikely event that St. Katharine’s finds itself unable to honour your booking, their liability will be limited to return of fees paid.

We advise guests to take out appropriate insurance to cover their stay in the event of cancellation

General

  • St Katharine’s Parmoor accepts no responsibility or liability (other than as a direct result of its own negligence) for any injury, personal loss or damage to personal property belonging to Hirers or their attendees, or for their motor vehicles and contents.
  • The Hirer will be liable for any damages caused by themselves or their attendees or anyone for whom they are responsible.
  • St Katharine’s decision will be final over determining any questions arising in relation to the interpretation of these Terms and Conditions.
  • The house, associated buildings and all gardens are no-smoking areas. The designated smoking areas are by the front door of the main house and St Joseph’s.

 

Useful Things to Know!

Checking in and out;

  • For Health & Safety purposes, group organisers/leaders must report to the General Office on arrival. It is their responsibility to ‘register’ each participant as they arrive and confirm to house staff of any changes to numbers.
  • For groups using St Katharine’s, the group leader or nominated responsible person must be present on site – this includes overnight.
  • Prior to leaving, all meeting rooms used should be left as found on arrival with any chairs and/or tables returned to their original position. A Room Plan is in each room.

Residential Groups;

  • Towels and bedding are provided in all rooms.
  • Residential guests are requested, where physically able, to strip beds of duvet covers, bed sheets and outer pillow cases, placing these in the ensuite along with all towels.
  • Unless agreed in advance, bedrooms should be vacated by 9:30am on the day of departure, leaving keys in the outside door lock of the room.

Day Visitors/Groups;

  • For Health & Safety purpose, group organisers should have available a list of all participants.

Meal Times;

  • Breakfast – 08:30am
  • Lunch – 12:30pm
  • Supper – 6:00pm (Fridays only – 7:00pm with prior arrangement)

A bell will be sounded 5 minutes prior to the above times, advising guests that their food will be served shortly.

Tea and coffee is available throughout the day in the main entrance hall.
